Publish Her Event Coordinator Overview and Application
Publish Her is a female-founded independent publisher and bookseller dedicated to educating authors and elevating the words, writing and stories of women. We are passionate about amplifying the voices of women of color, women with disabilities and members of the LGBTQ+ community, and we aim to make publishing an attainable, exciting and collaborative process for all. We are seeking a detail-oriented event coordinator to support our virtual and in-person events in the Twin Cities metro area of Minnesota. This part-time contract role works remotely and in-person and supports bookshop pop-ups, book launches, writing workshops, author signings, marketplace events, etc.
Event Coordinator Overview
The event coordinator provides comprehensive support to ensure the efficient and effective planning and execution of in-person and virtual events. This role involves handling a variety of tasks including managing communications, coordinating logistics, and supporting marketing and sales efforts. Ideally, the person in this role is highly organized, proactive, and possesses excellent communication skills. (Note: This is a general overview and does not encompass all tasks and responsibilities that may be required.)
Key Responsibilities
1. Event coordination:
- Plan/organize/execute in-person events such as bookshop pop-ups, book launches, writing workshops, author signings, marketplace events, etc. in the Twin Cities metro area of Minnesota, including coordinating registrations/RSVPs, logistics, setup/teardown, post-event recaps/communication, etc.
- Plan/organize/execute virtual events, such as Zoom workshops and meetups and social media live events, including coordinating registrations/RSVPs, logistics, technology, post-event recaps/communication, etc.
- Build relationships and communicate with vendors, venues, event partners, authors and participants to ensure smooth execution of events.
- Order and manage event-related equipment and supplies.
- Schedule and coordinate event-related meetings.
- Manage event-related emails and other communications.
- Maintain and organize digital files and records.
2. Event promotion and engagement:
- Collaborate with Publish Her team members to support event promotion via the website, e-newsletters, social media pages and other channels.
- Communicate with event partners, authors and participants to support event promotion via their websites, e-newsletters, social media pages and other channels.
- Represent Publish Her at in-person are virtual events, including coordinating author and partner activities, engaging with attendees, answering questions about Publish Her’s mission and creating a welcoming environment.
3. Sales and merchandising:
- Set up and maintain attractive branded event displays at bookshop pop-ups, book launches, writing workshops, author signings, marketplace events, etc.
- Manage on-site sales of books and merchandise at events.
- Handle sales transactions and track inventory as needed.
Qualifications
- Proven experience as an event coordinator or relevant role.
- Strong organizational and time management skills.
- Excellent verbal and written communication skills.
- Ability to work independently and manage multiple tasks simultaneously.
- High level of attention to detail and accuracy.
- Knowledge of the publishing industry and a passion for empowering women a plus.
Preferred Skills
- Proficiency in Microsoft Office Suite (Outlook, Word, PowerPoint and Excel) and familiarity with project management tools.
- Experience with social media platforms and digital marketing.
Compensation
- This part-time contract position pays $30/hour (approximately 10 hours per month but could be more or less).

- Publish Her does not provide contractors with any benefits or rights associated with an employment relationship; the contractor is required to have and use their own equipment, including a vehicle with room to transport supplies, a computer and internet connection, etc., for their work in this role.
