Congratulations! You Are About to Become a Published Author!

We have made your proof corrections and your book is almost ready to be published. Per your publishing agreement, you will receive an invoice from Publish Her for the balance of your publishing fee. Once your invoice is paid, your publishing manager will schedule a 60-minute Zoom publishing meeting to upload your book files to the print-on-demand platforms.

A. Publishing Accounts

As you learned earlier in the publishing process, Publish Her does not retain a portion of your book royalties. For your royalties to be paid directly to you from the print-on-demand platforms, authors are required to set up publishing accounts on both Kindle Direct Publishing (KDP) and Ingram.

Important: Your publishing accounts must be set up prior to your Zoom publishing meeting. You can do this on your own, or Publish Her can help you set up your accounts (also via Zoom). Doing so will require sharing business financial information including your tax ID number, bank account and routing numbers, and credit card number, which your publishing manager will enter in real time during the Zoom meeting. None of your financial information is retained by Publish Her; however, if you are not comfortable sharing these details during the Zoom meeting, you will need to set up the accounts on your own.

1. Kindle Direct Publishing
  • Publishing on KDP requires Amazon Business and KDP accounts, which are connected. You will use your Amazon Business login information for both accounts.
  • If you don’t already have an Amazon Business account, you will need to set one up using a phone number where you can receive text messages, and this phone number cannot be connected to a personal account on Amazon. This is important, as KDP has a multistep login process that requires users to enter a code communicated (via text or voice call) to the number associated with the account.
  • If you have one phone number that you use for both your personal life and business, and it is already connected to your personal account, you cannot use it on your Amazon Business and KDP accounts. Alternately, you could download a text messaging app like TextFree and use the number associated with the app to set up your accounts. Or you could use the phone number of a family member or friend, provided it is not already associated with an Amazon account. Keep in mind, though, you will need access to it whenever you are logging into your KDP account.
  • Start by setting up your Amazon Business account here: https://business.amazon.com/
  • After you’ve set up your Amazon Business account, log in to KDP using your Amazon Business login credentials and set up your KDP account here: https://kdp.amazon.com/en_US
    • During this process, you will be required to enter your business financial information, including your tax ID number, bank account and routing numbers, and credit card number.
    • KDP will send your royalties to the bank account associated with the account; you will receive a tax statement for your book royalties from KDP annually.
    • Any author book orders you place will be charged to the credit card you set up on the KDP account; orders are trackable via your Amazon Business account.
    • KDP does not charge a fee to upload your book files. Your Publish Her publishing package includes up to two rounds of uploading your book files. The first round of uploading is for the advance reader copy (ARC) of your book. A second round of uploading is scheduled if critical errors were found in the ARC, after the files have been corrected. Beyond the allotted two rounds, requests for additional edits and uploading will be quoted with an additional statement of work.
  • Important: You will need to share your login information for Amazon Business/KDP with Publish Her during the file upload/publishing process, which you’ll do with your publishing manager on Zoom. Once our work together is complete, we recommend changing your password.
2. Ingram
  • Publishing on Ingram requires an IngramSpark account. IngramSpark does not have the same security features KDP does, and the site is less user friendly. As you are setting up your account, be aware that it can be slow and finicky.
  • Start by setting up an IngramSpark account here: https://myaccount.ingramspark.com/Account/Signup
    • During this process, you will be required to enter your business financial information, including your tax ID number, bank account and routing numbers, and credit card number.
    • IngramSpark will send your royalties to the bank account associated with the account; you will receive a tax statement for your book royalties from IngramSpark annually.
    • Any author book orders you place will be charged to the credit card you set up on the IngramSpark account; orders are trackable via your IngramSpark account.
    • As of June 2023, IngramSpark does not charge a fee to upload your book files. Your Publish Her publishing package includes up to two rounds of uploading your book files. The first round of uploading is for the advance reader copy (ARC) of your book. A second round of uploading is scheduled if critical errors were found in the ARC, after the files have been corrected. Beyond the allotted two rounds, requests for additional edits and uploading will be quoted with an additional statement of work.

B. Publishing

Your publishing manager will schedule a 60-minute Zoom publishing meeting to upload your book files to the print-on-demand platforms. During the Zoom publishing meeting, your publishing manager will upload your book files. You must be present for the entire meeting, as you will be required to give verbal approvals during the process.

Your Publish Her publishing package includes up to two rounds of uploading your book files. The first round of uploading is for the advance reader copy (ARC) of your book. After the files have been uploaded, you will receive emails from the publishing platforms that your book is live. Please let your publishing manager know as soon as you receive these emails. We ask that you refrain from sharing links or promoting your book on these platforms until both Publish Her and you have thoroughly reviewed the ARC and agree it is ready to share.

If critical errors are found in the ARC, a second round of uploading will be scheduled after the files have been corrected. Again, please do not promote your book until we both agree it is ready to share.

Also during the Zoom publishing meeting, you will receive additional details about pricing, ordering, shipping, etc. Some important details regarding using your publishing accounts:

1. Book Orders
  • The cost for author copies of your book will be determined during the file upload process.
  • If you collected pre-orders and/or you would like to have your own inventory of books, you may place orders for author copies in KDP and/or Ingram. In KDP, you may order as few as one or up to 999 books at a time. Once your order is placed, you can manage it in Amazon Business or Ingram (to cancel, track shipping, etc.). Author copies do not qualify for Prime shipping on Amazon.
  • On both platforms, books take approximately two to three weeks to ship.
2. Royalty Payments
  • After an initial 60-day waiting period, KDP and/or Ingram send royalty payment notices every 30 days. The notices will be sent to the email associated with your accounts. Payments are made to the bank account you set up in KDP and/or Ingram.
  • You may view your book sales and royalty payment dashboard in either platform.
  • Royalty terms are determined by KDP and Ingram and are subject to change.
3. Taxes
  • Tax statements are sent by KDP and Ingram at the beginning of the year and reflect your income for book orders placed on the platforms.

Next Steps

Next, you will receive your final galleys (with proof corrections) via Dropbox Sign along with the information on this webpage. You will sign to confirm you have read and understand the steps noted on this webpage (and in the document), and you approve the final galleys for publishing. At that time, you will also indicate whether you plan to set up your publishing accounts on your own or if you would like the support of your publishing manager.
