We are seeking a detail-oriented virtual assistant to join our team and support our operations. This part-time contract position averages 20-40 hours per month and works remotely.

Position Overview

The virtual assistant provides comprehensive administrative support to ensure the efficient operation of the publishing company. This role involves handling a variety of tasks including managing communications, coordinating meetings, assisting with author material submissions, and supporting marketing efforts. The ideal candidate is highly organized, proactive, and possesses excellent communication skills. (Note: This is a general overview of the position and does not encompass all tasks and responsibilities that may be required.)

Key Responsibilities

1. Administrative support:

  • Manage and respond to emails and other communications.
  • Schedule and coordinate meetings, appointments and events.
  • Maintain and organize digital files and records.

2. Author material submission management:

  • Assist in receiving, organizing and tracking author material submissions (manuscripts, essays, feature stories, etc.).
  • Coordinate with authors, editors and reviewers to ensure timely processing of material submissions.
  • Maintain a database of submissions and publication schedules.

3. Marketing support:

  • Assist in the creation and distribution of marketing materials (e-news, social media posts, etc.).
  • Monitor and update the company’s social media platforms.
  • Track and report on marketing campaign performance.

4. Customer service:

  • Handle inquiries from authors, readers and partners.
  • Provide support to authors regarding submission guidelines and publication processes.

5. Project coordination:

  • Assist in managing project timelines and deliverables.
  • Coordinate with various team members to ensure projects are on track.
  • Prepare reports and presentations as needed.


  • Proven experience as a virtual assistant or relevant role.
  • Strong organizational and time management skills.
  • Excellent verbal and written communication skills.
  • Ability to work independently and manage multiple tasks simultaneously.
  • High level of attention to detail and accuracy.
  • Knowledge of the publishing industry and a passion for empowering women a plus.

Preferred Skills

  • Proficiency in Microsoft Office Suite (Outlook, Word, PowerPoint and Excel) and familiarity with project management tools.
  • Experience with social media platforms and digital marketing.
